- Seaman’s Book / Identity Document: A valid Seaman’s Book is required as proof of crew status.
- Schengen Visa (where applicable): Seafarers’ visa applications may be subject to expedited processing, typically within approximately two (2) weeks.
- Letter of Employment / Invitation: An official letter or contractual document issued by the shipping company, agent, or vessel owner, clearly stating the purpose of entry (e.g., joining or disembarking from a vessel).
- Travel Insurance: Proof of travel medical insurance with a minimum coverage of €30,000, including medical expenses and repatriation.
- Maritime-Specific Visa Provisions: Certain Schengen Member States, such as Spain and Greece, provide simplified or specialized visa procedures for seafarers.
- Employment Verification: You must hold a valid contract, letter of appointment, or letter from the ship agent/owner indicating the vessel's, arrival/departure details.
- Electronic Verification: EU countries may mandate electronic verification of Certificates of Competency (CoCs) to ensure they are valid and recognized by the EU.
- Arrival/Sign-On Procedure: Upon arrival at a port or airport, a "meet & greet" service is frequently required, and the ship agent will handle immigration formalities.
- Sign-Off/Exit: Upon leaving, the seafarer must be officially signed off, and the visa closed if a Schengen visa was used

- Shore Leave: Valid seaman's books allow for temporary shore leave, but this is at the discretion of the port authority and subject to immigration rules.
- Crew Changes: Many European ports use automatic biometric systems (fingerprints/facial recognition) linked to crew lists.
